-What day and time would be best?

I'd say 8-9 EST, preferably on a weekend.

Who and how many will be participating?

Getting participants comes after we get a date/time nailed down. :D

This weekend? Might be a little tiny bit too short notice, but it could work. :D

How about this: we could do a trial run with just the "committee" and whoever wants to help out this weekend to get an idea of anything that might come up to make things complicated, then plan for the first official run of the race next weekend?

Sure.
However, my set's probably gonna start leveling this weekend at around 8 EST, not sure if it's Friday or Saturday though.
Though if it's just a test run or whatever, then we could maybe schedule it a bit earlier? :)

Saturdays are not the best time for me, my family tends to reserve any special functions for satruday nights ><.

How about Sunday nights? Could be a fun way to end the weekends, especially for those of us who have to head to work monday morning :/

I am definitely in on a test run though, I think that's a great Idea. As far as how many people should be allowed in each event. I think we should allow as many people as we have volunteers (which will have to be decided after we find out who will be able to make it to an event). Then we'll just have to run on a first come first serve basis, if you decided you wanted in last minute and we dont have room, then you'll have to join the next event I guess.

Sounds good to me Ele, especially since we're going to have a tough time finding people who want to just volunteer and not run the race themselves. We may have to work out some deal where if you run the race a certain number of times, you're expected to volunteer to ref at least once.

Understood re: saturday night, and actually, it may not work out well anyway because Saturday nights are EF nights and we may lose people that way. Sundays will work better IF we don't do it too late for EST people to do it, so the 8/9 PM time slot works well. But for a run this weekend, would Sat. afternoon work for you or would you prefer Sun.?

Erm, this weekend I'd have to say I prefer saturday. Its my niece's 2nd Birthday sunday, unless we can do it before 2pm EST, then sunday would be ok.

And saturday would have to be either before 12 PM EST or after 4 PM EST. Sorry, I have a messed up schedule this weekend :/

Let me know.

i have an idea about the prizes
everyone couold pay a short fee, and we could have like a "Split the pot" prize.
whoever gets in first wins like 70%
second wins 20%
and 3rd place gets 10%
just an idea

Well, I think the set starts at 9/10 EST, so 7 or earlier would be good. ^^

OK, want to try 5PM(EST) Saturday for the trial run of the race? Should that work? It sounds like I have a few more volunteers than just people here, so we should be able to try out both an alliance and refs at the start/finish of each zone (something I'm toying with).

Yep, as Demoncide pointed out, that's been established already earlier in the thread. :)

Sweet! So where shall we meet? Let's say the home point in Bastok Markets? Bring any friends you think might be willing to do the run just for experiment's sake - the more the merrier, and also, the more people we get the better idea we'll have of how we'll need to referee and monitor a bigger crowd.

Which reminds me - what do we think of buying a linkshell that's just to be worn during the races? That way if there ends up being multiple alliances, everyone can still talk to each other. Alternatively, we could have an LS just for the referees to compare notes and say if there's anyone to look out for. Any ideas?

Mmkay, Basktok Market HP it is. :D
And I guess we could get a Linkshell only to be used during the races. However, if we only have the one alliance, I'll keep my usual one equipped. XD

The trial run is OVA! Eleusynia won (somehow, with only 1 HP!) with Demoncide a close second. The rest of us... um died. >> but it was still fun for all!!!

I would really like to do an OFFICIAL race next weekend, on Sunday night as was suggested earlier. Any suggestions for how to get the word out are more than welcome. Also, now that we've run the race, any suggestions for rules, referees, etc. would be great. I'm still basking in actually making it to Jeuno ;D
